Hand a tour over to a client

Offer a finished tour to a client. They look at it, take it over with a Vault, and it moves into their account. What you keep, who pays, withdrawing an offer.

The short answer

You built the tour, your client pays for the hosting and owns the tour. Open the tour's Settings tab (in the Advanced view), and under Project Collaborators click Hand over to client. The client gets an email, looks at the tour, takes it over with a Vault, and the tour moves into their account with everything in it. You can stay on it to help. Until they take it over, the tour is yours.

Handing a tour over is part of the Pro, Agency and Enterprise plans. Only the owner of the tour can do it. Your email address must be confirmed: until it is, Send the offer takes you to the Check your inbox page (see Why can't I publish my tour?). The Hand over to client card appears only while Vaults are on sale.

Offer the tour

  1. Open the tour and click its Settings tab (click Advanced at the right end of the tab row first if the tab is not there).
  2. Under Project Collaborators click Hand over to client.
  3. Type Their email address. Use the address the client will make an account with. They do not need to have one.
  4. Write A message for them (optional). It reaches them as plain words, never as a link: in the email, web addresses and email addresses are replaced by link removed and address removed; on the Take over page it is shown as you typed it.
  5. Under Who pays for the hosting? choose:
    • The client. They choose a Vault and pay for it. The list The Vault we suggest to them holds the sizes that fit the tour; the smallest that fits is picked.
    • I pay. Only when the tour is already in a Vault that you bought for a set time. That Vault goes with the tour and the client has nothing to pay. A Vault that renews by itself cannot go, because it is billed to your card.
  6. Under What you keep on the tour afterwards choose Administrator, Editor, Viewer or Nothing: it leaves your account. A line under the choice says what each lets you do. Keep telling me when its hosting is about to end is ticked to begin with and appears only when you keep access. Leave it ticked to get the mails about the Vault ending; untick it if you do not want them.
  7. Click Send the offer.

The client is invited to the tour as a viewer, so they can look at it before they decide (if they are already on the tour, their role stays as it is). The mail has a link to look at the tour without signing in, which works for 14 days, and a link to take it over. The offer stays open for 30 days. They get one reminder if they have not answered.

Follow the offer

Under the heading Hand over to a client the offer shows where it has got to, as a row of steps: Invited, Joined, Paid, Moving files and Done. The person's row in the list below reads Offered this tour and the same step.

  • Invited: the mail was sent.
  • Joined: the client made an account with that address and can see the tour.
  • Paid: the client has a Vault for it.
  • Moving files: the tour is moving into their account. A big tour takes longer: you can leave the page. While it moves, changes made from the tour's pages, saving a scene included, are refused with This tour is being moved to its new owner, which takes a few minutes. Try again when it has arrived. The page shows Copying: N of M as it goes: a count of folders, not of files.
  • Done: the tour is theirs.

You can click Withdraw the offer until the client has paid. The client is told, has not been charged, and the tour stays yours. Withdrawing the offer takes away the viewing access the offer gave, but the link in the mail keeps working until its 14 days are over. Removing the person from the tour, or revoking their invitation, withdraws the offer too.

What moves, and what stays

Moves to the client: the scenes and their pictures, hotspots, floor plans, design, settings, and every file on the tour's Assets tab, trash included. A custom icon or a library file that the tour shows is copied to the client: you keep yours. After the move the pictures count in the client's account, not yours.

Stays with you: the library files you did not put in this tour, and your own custom icons (a copy goes to the client). Your plan's panorama count goes down by the tour's panoramas.

After the move you are what you chose: Administrator, Editor or Viewer, or you have no access. The client can change that. The tour moves from My Tours to the list of tours shared with you.

Everyone else on the tour stays on it; the client can change or remove them. A Vault of yours that hosts the tour stays yours, empty, unless you chose I pay, and plan hosting stays with you. If the client pays, the tour is published in their Vault as soon as it arrives (not listed on Explore unless it already was). While an I pay offer is open, that Vault cannot be taken out, moved or canceled: withdraw the offer first. When the tour has arrived you get an email and a line in the bell, and the Hand over card is gone.

What stops an offer

The button is gray, or the form refuses, with a reason underneath:

  • The tour has panoramas that are also in another tour, or in a post on the Social site. A panorama belongs to one owner, so take them out of the other tour or delete the post first.
  • The tour is in the trash, or Panoramr took it offline.
  • The tour is already offered to somebody: the card shows that offer instead of the button. The card is not shown while an ownership transfer to a colleague is waiting for an answer: cancel it first.
  • The tour has more panoramas than the biggest Vault holds. Contact us.
  • For I pay: the tour is not in a Vault bought for a set time.
  • The address is your own (That is your own address.).

When the client answers, their account must have room for the panoramas. If it does not, they are told, not you.

Troubleshooting

The client did not get the mail. Check the address, and ask them to look in their spam folder. Withdraw the offer and send it to the right address if you mistyped it. Once they have made an account with that address and confirmed it, the tour is in their My Tours under Shared, and a banner (<your name> offered you the tour "<tour>", which is yours if you take it over before <date>.) with a Take over button shows at the top of the app. They also get a line in the bell if they already had a confirmed account when you sent the offer.

It says "Moving files" for a long time. Leave the page. A tour with many scenes takes longer. If it fails, nothing has changed and the tour is still yours. You get an email, and Panoramr looks into it.

The offer ran out. An offer lasts 30 days. Offer it again.

I want to give the tour to a colleague, without a Vault. Use Transfer a tour to a collaborator's account.

I want the client to keep paying me. Keep the tour in your own plan or Vault and invite the client as a viewer or editor: see Keep hosting a client's tour yourself.
