The short answer
A team seat lets a person you invite work inside your Panoramr account with their own email and password. They see your tours, library, Brands and Vaults as far as you allow, what they make belongs to your account and counts against your plan, and you stay the only one who can reach billing or close the account. You invite people on the Team page in My Account. Pro has +1 team member, Agency +5 and Enterprise +20, on top of you; Free has none.
A team member is not a collaborator
| Team member (a seat) | Collaborator | |
|---|---|---|
| Works in | Your whole account: tours, library, Brands, Vaults | One tour |
| Counted against | The seats your plan has | Nothing: there is no limit |
| Gets | A role (Admin) or the permissions you tick | A role on that tour: Viewer, Editor or Admin |
| What they make | Belongs to your account | Their own panoramas are copied into your library when they add them to your tour |
| Set up on | Team in My Account | The tour's Settings tab: Invite collaborators to a tour |
Use a collaborator for a client or a photographer who works on one tour. Use a team member for someone who works with you every day.
Who can invite
- The owner, the person who holds the plan. Your email address must be confirmed: until it is, sending an invitation takes you to the Check your inbox page.
- An Admin, who can invite, change and remove Managers and Editors. Only the owner can make an Admin, change or remove an Admin, or cancel an invitation to an Admin.
- A Manager, who has the Team permission by default, and can invite, change and remove Editors.
Nobody can give a permission they do not have themselves, or change or remove their own seat: they leave from My profile. An Editor manages nobody, even with the Team permission.
An account on Free has no seats. A free-trial guest cannot accept an invitation. On a paid plan, an invitation that you have sent and nobody has accepted yet uses one of your seats; one that ran out after 14 days does not.
Invite a team member
- Click your name or picture at the top right of the website, then My Account, then Team. The Team page is there once team seats are switched on for your site.
- Under Invite a team member, type their Email address.
- Choose their Role: Admin, Manager or Editor. The page shows what that role can do. Under They may also, tick anything more this one person should be able to do.
- Click Send invitation.
- The page says
We have emailed <address> an invitation to join your team. They get a seat as soon as they have a confirmed account with that address. It says the same whether or not the address already has an account.
The person gets an email with an Accept the invitation button. To accept, they sign in, or create a free account, with exactly that email address, confirm it, and open the button. A page then shows whose account it is and what they would be allowed to do, and they click Join. They are then working in your account, and they can go back to their own account at any time. The invitation is open for 14 days. Opening the link while signed in with another address does nothing; the page says the link is not valid.
The Team page
The Team page opens with a short explanation of what team members are (the title at the top says "Your team" for the owner, and the account's name with its email address for a team member, so you can tell which account you are looking at. The name is the company name from the owner's Creator profile when they have set one, else their own name), the three steps (invite, they accept, you manage), and a bar that shows how many of your plan's seats are used. Invitations waiting count as used. The bar turns amber when none is left. Under Invite a team member the page says how many seats are left on your plan. The page lists you as Owner under People, then each team member with their name, address, a coloured label for their role (Admin, Manager or Editor), the date they joined and what they may do: someone who holds every permission shows "Everything except billing and closing the account", anyone else one chip for each permission they hold. At the bottom, What each role can do shows a column for each role (see What each role can do below). Invitations waiting lists the invitations nobody has accepted, marked Invited, with the day each stops being open.
Email address
The address of the person you invite.
Where: Team page, under Invite a team member. Owner, Admin, and a limited team member who has the Team permission. Default: Empty. What it does: The invitation belongs to the address. If the person's account uses another address, invite that one. Sending an invitation again to an address that already has one waiting makes a new link and gives it 14 more days, with the permissions you choose now. You cannot invite yourself or the account owner, or a person who already has a seat in the account. What visitors see: Nothing; this is for the people who work in your account. Needs: A plan with seats, a seat left, and a confirmed email address on your account. Related: Send invitation
Role
What the person can do in your account: a role, and anything more you tick for them.
Where: Team page, in the invite form (Role and They may also), and under Change on a person's row. Default: Editor, with nothing more ticked. What it does: A role gives a set of permissions, the same for everyone who has it. What each role gives is in What each role can do. Out of the box:
| Role | Can do |
|---|---|
| Admin | Everything except billing and closing the account. |
| Manager | Tours, Asset library, Sharing, Brands and themes, Analytics, and Team (invite and manage Editors). |
| Editor | Tours and Asset library. |
They may also lists the permissions the chosen role does not give; tick one to give it to this person only. Under Change the boxes show everything the person can do now, and a box you change shows "(only for them)". The permissions are:
| Permission | What it lets the person do |
|---|---|
| Tours | Make tours and edit them: panoramas, hotspots, floor plans, media, the tour's own design and its settings, the Preview. Move a tour to the Trash. Upload panoramas. Import a tour. |
| Asset library | Use the account's library: files, folders, the Trash, the older versions of a file, and panoramas that are not in a tour. |
| Sharing | On top of Tours: invite and remove collaborators on the account's tours, offer a tour to a client and take the offer back, choose who can see a tour, make its link, download it, publish to Google Street View, tick Publish to Global Showcase and post on Explore. |
| Vaults and hosting | On top of Tours: publish a tour so it is live, put it in one of the account's Vaults, attach a Vault to a tour and move it to another tour. |
| Brands and themes | Use and change the account's Brands, saved designs, themes and icon packs. |
| Analytics | Look at the account's numbers: the views of the account's tours, not your own. Nothing in Analytics can be changed. |
| Team | Invite, change and remove the people whose role is below yours. |
To open a tour at all, a person needs Tours: without it the tour page, its Preview, Assets and Publish tabs all answer with an error, whatever else the person holds. Sharing and Vaults add what they can do beyond that, on top of Tours; Asset library, Brands and Analytics also work on their own pages. If a person with Tours tries to go live, use a Vault or list a tour on Explore without the permission for it, the message is Your role on this account can't change this setting. Any other page their permissions do not cover shows that it is not part of their seat.
Give Tours and Sharing only to people you trust with your work. Someone with Tours can delete a tour, including one that is in a Vault, and can copy a panorama from your account into a tour of their own. Someone with Sharing can invite any email address as a collaborator on your tours, and that collaborator keeps their access after the team member is removed: look at the collaborator list on the tour and remove them there. What visitors see: Nothing. A tour made by a team member looks like any other tour of your account, and on Explore it shows under your creator name. Needs: You can give only roles below your own and permissions you hold yourself. Only the owner can choose Admin. Related: Send invitation
Send invitation
Mails the invitation.
Where: Team page, the button at the end of the invite form.
Default: Not applicable.
What it does: Sends the email and adds the invitation to Invitations waiting. You can send 20 invitations an hour and 100 a day, and one address can be invited 3 times a day by anyone. When you pass a limit the page says You have sent so many invitations lately. Please try again in N minutes. or That address has been invited several times today. Please try again tomorrow.
What visitors see: Nothing.
Needs: A seat left on your plan. When every seat is taken the page says to remove a team member or cancel an invitation, and when your plan has none it says the plan does not include team members.
Related: Cancel invitation
Change
Changes what a team member can do.
Where: Team page, the button on a person's row under People, then Save. It shows when you may change that person. Default: Not applicable. What it does: Choose another Role, or tick and untick what this one person can do; it takes effect at once, and the person is not told. Only the owner can change an Admin. An Admin changes Managers and Editors, a Manager Editors only, and nobody their own seat. What visitors see: Nothing. Related: What each role can do
Remove
Takes a team member's seat away.
Where: Team page, the button on a person's row under People. A window asks you to confirm. Default: Not applicable. What it does: The person loses access to the account straight away and is not told. Everything they made stays in your account: it was yours from the start. The seat is free again for someone else. A collaborator you or they added to a tour stays on that tour until you remove them there. What visitors see: Nothing. Related: Cancel invitation
Cancel invitation
Withdraws an invitation nobody has accepted.
Where: Team page, the button on a row under Invitations waiting. Default: Not applicable. What it does: Deletes the invitation, so the link in the email stops working, and the seat is free again. An invitation that ran out stays out of the list and holds no seat. What visitors see: Nothing. Related: Send invitation
Working in
Switches between your own account and the accounts you have a seat in.
Where: In the header of the Dashboard and its tabs, and at the top of the list at the left of My Account, for a person who has a seat in somebody else's account. It is a menu: click it and choose the account.
Default: My own account. Accepting an invitation switches you to that account, and your choice lasts until you sign out.
What it does: Choose <name>'s account to work in that account, or My own account to go back. In another person's account you see their plan, their tours and their library, and you can open only what your permissions allow. Your profile, password, two-factor setup, notifications, avatar, likes, comments and follows stay yours in either account.
What visitors see: Nothing.
Needs: An accepted seat. The list is empty, and the switch is not drawn, for a person without one.

Leave an account
Takes you out of an account you have a seat in.
Where: My Account, then My profile, in the box Accounts you work in: a Leave button for each account you have a seat in. If your seat lets you open the Team page, it also has a Leave this account button on the right of your own name under People. A window asks you to confirm.
Default: Not applicable.
What it does: Click Leave account in the window. Your seat ends straight away and the Dashboard opens with the message You have left that account. If you were working in that account, you are back in your own; if you were working in another account, you stay in it. The owner is not told. Everything you made in that account stays there: it was the account's from the start. To come back, the owner or an Admin must invite you again. Stay closes the window and changes nothing.
What visitors see: Nothing.
Needs: An accepted seat, and team seats switched on for your site (while they are off the box is not shown, so ask the owner to remove you).

What each role can do
The table at the bottom of the Team page has a row for each permission and a column for the owner and each role, with a tick for yes and a dash for no. The rows at the end (billing and the plan, closing the account, data location, creator profile and client roles) are the owner's only and never change.
To change what a role can do, click Edit, tick or untick the boxes, and click Save. It changes what everyone with that role can do, straight away; if anybody has the role, a window first says how many people it changes. Reset defaults puts back the roles as they started, and Cancel closes the boxes without saving. The owner can change all three roles, an Admin only Manager and Editor, and nobody can give a role a permission they do not hold. Ticks given to one person on their row stay as they are.
What a team member can never do
These stay with the owner, whatever permissions are ticked, an Admin included:
- Billing, the plan, changing or cancelling it, the card and the invoices.
- Buying a Vault, making it bigger or longer, renewing or cancelling it. A team member can use the Vaults the account has, but does not see what was paid for them, their prices or their receipts.
- Taking over a tour that someone offers to the account, or transferring ownership of a tour. A team member can offer a tour to a client, but cannot let the account's Vault go with it.
- Closing the account, choosing where its files are stored, and the creator name and profile.
- Choosing what Viewers, Editors and Admins can open on your tours (Client Workspaces).
- Removing the owner.
While working in your account, a team member does not see these pages in My Account, and the boxes on a tour's Publish tab that their permissions do not cover are greyed out. A team member who reaches one of these some other way, or any page their permissions do not cover, sees Your seat in this account does not allow this. Ask the account owner, or switch to your own account.
What belongs to whom
- To the account: tours, panoramas, library files and folders, Brands, saved designs and themes, Vault use, downloads, imported tours (you can open the report of an import a team member made), and posts on Explore. They count against the owner's plan limits and are stored with the owner's files. When the team member leaves, or deletes their own login, they stay.
- To the person: their profile, password, notifications, likes, comments and follows. A comment a team member writes shows under their own name. Posts and tours show under the account's creator name.
Some emails reach team members as well as the owner: Vault and hosting alerts go to those who have the Vaults permission, usage warnings to Admins, the progress of a tour you offered to a client to those who have the Sharing permission, and notices about a picture that was flagged to those who can change it. Receipts, price changes and renewal notices stay with the owner.
When your plan changes
Your team keeps its seats if your plan gets fewer of them, and keeps working on Free too. Nothing is removed. Until you are within the new number you cannot invite anyone, and an invitation that is waiting cannot be accepted while the seats in use fill the new number. The Team page and the review page of the change say N of M seats used. Your team keeps access, but you cannot add people until you are within M. See Upgrade, downgrade or cancel your plan.
If you close your account, your team members lose access to it and work in their own accounts.
Leaving an account
Open My Account, then My profile. In the box Accounts you work in, click Leave beside that account, then Leave account. If you can open the Team page of that account, Leave this account is on the right of your own name under People too (see Leave an account above). The owner, or an Admin if you are a limited team member, can also remove you from Team. If you delete your own account, your seats end with it, and what you made in other accounts stays with them.
Troubleshooting
I do not see Team in My Account. Team seats are switched on for all accounts at once, and may not be on yet. A team member sees Team only when they have the Team permission.
That invitation link is not valid any more. Ask the person who invited you to send a new one. The link ran out after 14 days, was cancelled, was used already, or is for another address than the one you are signed in with. Ask for a new invitation, and sign in with the address it was sent to.
Confirm your email address first, then open the invitation link again. Click the link in the confirmation email Panoramr sent you, then open the invitation again.
That account has no room for another team member on its plan. The owner's plan has fewer seats than the account has people. Ask the owner to remove someone or to upgrade.
The invitation has not arrived. Look in spam: the email waits in a queue and can be late. The invitation stays open for 14 days; the owner can send it again from Team.
A page says it is not part of your seat. Your permissions do not include it, and the page names the account you are working in. Ask the owner or an Admin, click View my own followed by the page's name to open the same page in your own account, or choose My own account in Working in. Billing and the plan always stay with the owner.
