On this page

The Assets tab lists the files that belong to this one tour: the pictures, videos and sound you uploaded for its hotspots and panels, and its floor plans. Add files to it, find them, rename or delete them, and bring deleted ones back. The files of all your tours, and your panoramas, are in the Media library of your account, which Upload and manage files in the Asset Library describes.

Who can use it. The owner, and collaborators whose role includes the Assets tab (Editors and Admins by default; after the owner saves the roles on the Client Workspaces page, which has no switch for it, they lose it). A guest on the free trial sees the tab greyed out, with Assets is not available on the trial. Create a free account to use it. The files are the tour owner's, and the owner's plan sets the size of a file and how much the library holds.

Basic and Advanced. The tab is in the Advanced view only.

The list

Upload Assets

Adds files to the tour.

Where: The button at the top right of the list. A file input named Upload files to this tour sits behind it. What it does: Choose one or more files; the upload starts at once and the button shows its progress. The library takes images (.jpg, .jpeg, .png, .webp, .svg, .gif), video (.mp4), sound (.mp3, .wav) and documents (.pdf, .txt, .doc, .docx, .xls, .xlsx), judged by what the file is, not by its name. A batch can hold 20 files, one file can be as big as the owner's plan allows (10 MB on Free, 50 MB on Pro, 50 MB on Agency, 50 MB on Enterprise), and a picture is kept at most 80 megapixels. A banner says N asset(s) uploaded successfully. If one file of a batch cannot be taken, none is kept, and a red notice under the header says why; its cross, Dismiss, clears it. What visitors see: Nothing until you use the file in a hotspot or a panel. Needs: Room in the owner's library. Video and sound are taken on the Pro, Agency and Enterprise plans and with a running Vault; on another plan an empty tab says Upload images to use in your hotspots. Video and sound files come with the Pro, Agency and Enterprise plans. Related: Plans and limits.

Search assets

Narrows the list as you type.

Where: The box at the top left, Search assets.... What it does: Keeps the files whose name or address contains your text.

Type

Shows one kind of file.

Where: The list next to the search box. Default: All Types What it does: Choose All Types, Images, Videos or Audio. Floor plans count as images, so they show under Images too; documents (PDF, text, Word, Excel) show under All Types only.

Sort by

Chooses the order of the list.

Where: The list beside Type. Default: Newest First What it does: Newest First, Oldest First, Name (A-Z), Name (Z-A), Largest Size or Smallest Size.

Asset row

One row for each file or floor plan.

Where: The list, with the columns Name, Type, Size and Dimensions. What it does: The picture opens a large preview (View full size) of an image or a video. A floor plan is listed as its name followed by (Map). The checkbox at the left selects the row; the box at the top of the column, Select all assets, selects every row the search and filter show. With no files the tab says Upload images, videos, or audio to use in your hotspots.

Details

Opens a file's details at the side.

Where: The Details icon on a row; a floor plan has none. What it does: Shows the file's type, sizes, address and where it is used, and lets you change its name, alt text and caption, replace the file, and see its versions. Only the tour's owner can move a file between folders. See Upload and manage files in the Asset Library.

Edit Name

Renames a file in place.

Where: The pencil on a row (tooltip Edit Name). What it does: Type a new name and press Enter, or click the check (Save Name); Escape cancels. A floor plan's name is changed here without the (Map).

Delete Asset

Moves a file or floor plan to the Trash.

Where: The trash icon on a row (tooltip Delete Asset). What it does: Asks Move this asset to the Trash? and says It stays in the Trash for 30 days and can be restored from there. If a tour still shows the file, the Delete Asset Warning window opens instead. What visitors see: A file in the Trash keeps showing in the places that use it. It is deleted for good after 30 days, unless something still uses it. Related: Delete tours and panoramas, and get them back.

Delete Asset Warning

A window that names the places a file is used before you move it to the Trash.

Where: It opens when you click the trash icon on a row of a file that is in use (not when you use Delete Selected, which asks one question for all the rows). What it does: Says This asset is actively used in the following locations. Deleting it will break the media in these tours. Please review before proceeding. and lists each place with its name, its kind and a Review link that opens it in a new tab. Cancel closes the window and keeps the file; Confirm Delete moves the file to the Trash anyway. What visitors see: The file is in the Trash, and it keeps showing in the places that use it until it is deleted for good (see the Trash below). Related: Delete tours and panoramas, and get them back.

Delete Selected

Moves the ticked rows to the Trash together.

Where: The button at the top right, shown while at least one row is ticked: Delete Selected with the number. What it does: Asks Move 3 assets to the Trash? and says they may be used in active tours. A search or filter that hides a ticked row unticks it, so it is not deleted.

Trash (Deleted Assets)

Deleted files wait here.

Where: A bar under the list, shown only when something is in the Trash; it counts N Asset(s). Click it to open the list. What it does: Each row has Restore and Delete for good. A restore asks nothing. Delete for good names the places that still use the file first, and its button then reads Delete anyway. A deleted floor plan waits here too. Related: Delete tours and panoramas, and get them back.

The tab on the free trial

Trial lock

A guest on the free trial sees the tab greyed out and cannot use it.

Where: The whole tab, under the tour's tabs. Shown only to a guest account of the free trial. What it does: A note at the top says Assets is not available on the trial. Create a free account to use it. with a Create a free account link. The list and its buttons below it are dimmed and cannot be clicked. What visitors see: Nothing; this is the editor.

Troubleshooting

The tab is not in my row of tabs. It is in the Advanced view only, and a collaborator needs the role for it.

An upload is refused. Read the red notice under the header. A file may be too big for the owner's plan, of a kind the plan does not take, or past the library's room. See Plans and limits.

A floor plan is here and I cannot open its details. A floor plan belongs to the tour: change its pins and picture on the Floor Plans tab (The Floor Plans tab).

A file I deleted still shows in the tour. It keeps showing while it is in the Trash. Delete it for good to take it out, and publish again if the tour uses Draft Workflows (My changes do not show for visitors).
